Tus derechos

Privacy policy

Ikigai Academia app · Last updated: 20 September 2026

This app is a martial arts club's private training record: timetable, attendance, belts and a personal diary. There is no advertising, no third-party analytics, no tracking, and data is never sold or shared.

Who is responsible

Matthew Wright, the developer and operator of the service. Contact: privacy@magicaid.online. If the club takes over running the app, this page will be updated with their details.

What is stored

DataWhy
Email and password (stored hashed with Argon2, never in plain text), preferred language, role and account status Signing in and club access
Display name and profile photo So other members know who you are
Belts and promotions (rank, date, who awarded it, who recorded it)The club's rank history
Kids' profiles: name, date of birth, photo and media consent, created by their parent or guardian Enrolling them in kids' classes; the date of birth sets the age band (4-7 / 8-13)
Attendance: which class, on which date, and who recorded the check-inThe club's attendance history, and class counts towards promotions
Class feed posts: text, photos and video Sharing the class with other members
Private diary and roll log: notes, training partners and techniquesYour own record — see below
Week plannerThe classes you plan to attend, also private
Membership fees: a monthly "paid" tick recorded by an admin, and free monthsThe club's fee tracking. Fees are paid in cash in person: the app processes no payments and stores no amounts, bank or card details
Notification device token (APNs), if you turn notifications onSending only the two kinds of message listed below
Server logs (IP address, request path and time) Security and troubleshooting. Deleted after 14 days

The app does not access your location, your contacts or the advertising identifier. The camera and photo library are used only when you upload a profile photo or a post.

The diary really is private

Your diary, your roll log and your week planner are visible to you alone. They appear in no admin screen, no club dashboard, no statistics, export, report or notification. Admins, instructors and the club owner cannot read them.

That is not just a promise: the code is written so only one file can touch this data and only ever through your own session, and an automated check blocks any release that breaks the rule.

If you log another member as a training partner, that person is never notified and sees nothing.

Who sees what

On-device translation

Text is stored in the language it was written in. If you ask for a translation, it is translated on your own phone using Apple's translation feature: the text is not sent to our server or to any translation service, and no translation is stored.

Notifications

They are off by default and sent for exactly two reasons: a club announcement the author explicitly flagged, and a reminder for a class you planned yourself. Nothing from the diary, roll log or posts ever triggers a notification. You can turn them off in your phone's settings.

Where the data lives

On a dedicated server in Germany (Netcup, Nuremberg), inside the European Union, over an encrypted connection (HTTPS). No analytics or advertising services are used. Notifications are delivered through Apple's APNs service, and the app is distributed through the App Store and TestFlight (Apple).

Legal basis

Processing is based on your membership of the club (performance of a contract, and the legitimate interest in keeping attendance and rank records) and on your consent for photos and video and for notifications. Media consent is asked once, and is given by the parent or guardian for children; it can be withdrawn at any time by writing to the contact address.

Children

Children have no account: their profile is created and managed by their parent or guardian from that adult's own account. For a child, only their name, date of birth, photo (if allowed), attendance and belts are stored.

How long it is kept

For as long as you have an account with the club. When you delete it, everything personal is erased and the attendance, belt and fee history is kept anonymously as club history.

Deleting your account

You can delete it yourself in the app: Profile → Delete my account. It asks for your password to confirm and cannot be undone.

You can register again afterwards: it will be a new account, which is deliberately not linked to the earlier history.

Your rights

You may request access to your data, correction, erasure, portability, and object to or restrict processing, by writing to privacy@magicaid.online. You may also complain to your country's data protection authority (in Spain, the Agencia Española de Protección de Datos, www.aepd.es).

Security

Encrypted connections to the server (HTTPS), passwords stored with Argon2, role-based access, and the privacy barriers described above, checked automatically before every update.

Changes

If this policy changes, this page and the date above are updated.
